We are hiring a new Reception Coordinator to work at the front desk at The Beacon. In this role, you are the first contact our guests receive. We are looking for someone who has strong communication skills, someone our guests can relate to, and can provide a welcoming presence to all those entering the Beacon. Under the supervision of the Program Director of The Beacon, the Reception Coordinator (RC) serves as the primary day-to-day guest and staff support at The Beacon. The RC represents the "face of The Beacon," being the first person with whom both internal and external customers come in contact in person, over the phone and via e-mail.

Principal Accountabilities

Client Services:

  1. Greets and administers daily sign-ins of all internal and external guests entering The Beacon.
  2. Builds and maintains trusting, respectful relationships with guests, volunteers, and service providers, fostering a professional, warm, and welcoming atmosphere throughout The Beacon.
  3. Continually monitors guests to ensure adherence to the Code of Conduct.
  4. Ensures the safe environment of The Beacon, recognizing difficult situations and when to alert/involve security or other program staff
  5. Enters guest intakes, creates new guest files, and enters daily scans into HMIS

Administration and Support:

  1. Oversees all things essential to efficient office operations including reception coverage and phone calls, administrative support, and mail process
  2. Secures proper upkeep and maintenance of all equipment and inventory in shared service area
  3. Provides basic clerical assistance to the professional staff including but not limited to document preparation, copying, filing, mailing preparation, activity logs and records, and relaying messages from outside callers
  4. Ensures the cleanliness of the building through oversight of guest responsibilities in this effort and by keeping the front desk area and mailroom in order.



  1. High School or Associate's Degree
  2. 2-4 years in administrative setting
  3. Experience with homeless population or another vulnerable population a plus


  1. Friendly, welcoming, empathic, tolerant, trustworthy
  2. Ability to multi-task
  3. Detail-oriented and well-organized
  4. Able to think critically and respond calmly in difficult situations
  5. Computer and database skills, specific training and/experience with current technology (e.g., Word, Excel, PowerPoint)

Physical and Mental Functions:

  1. Sitting for long periods of time
  2. Occasionally bend/twist at waist/knees/neck to perform various duties
  3. Occasionally lift or carry up to 40 pounds
  4. Constant mental alertness and attention to detail required
